What is Content Management?

Content Management is used to manage the workflow, either manually or computer-based, in a collaborative environment within a business. Content can include items such as documents, multimedia files, audio files, video files or any item within a business that has a lifecycle. Content Management helps to set up processes and technologies that will support the documents from collection to publishing. There are normally two elements to content management:

  • Storing Content in a Main Source
  • Supporting the Workflow of the People involved in putting Content into the Source

With all of the different types of files that a business acquires it is important to reduce the number of types of content. It is mainly a collaborative process that takes a lot of organization and configuration. There are five roles associated with Content Management within an organization. What is a content management system?

A content management system is a subgroup of content management. It is most easily described as a system to create, review, edit and manage the content of a web site, such as SharePoint. There are typically two sectors that make up CMS:

  • Content Management Application (CMA)
  • Content Delivery Application (CDA)

Content management application is an element that allows the author or manager to manage the creation, modification and removal of content from the site without needing the knowledge of Hypertext Markup Language (HTML). The content delivery application is an element that uses and compiles information to update the web site. The Content Management System procedures are designed to have the ability to do the following:

  • Allow a large number of people to contribute and share data
  • Control access to the data based on roles within the company
  • Easily store and retrieve data
  • Reduce repetitive data inputs
  • Improve communication between users

All of these points are extremely important to a business and can help the efficiency a great deal. The system is a set of automated processes that support many features and has the ability to do a number of things. One of the most important aspects is that a Content Management System can also provide tools for one-to-one marketing, the ability for a web site to tailor its content and advertising to a specific characteristic.
